Job description
We are looking for an organized, customer-focused Service Advisor cum Purchaser to run the front desk of our auto repair workshop and manage spare parts procurement. You will be the link between customers, technicians, and suppliers. You will make sure vehicles are diagnosed, quoted, repaired, and delivered on time, with the right parts bought at the right price.
Key Responsibilities
A. Service Advisor
• Receive customers in person, by phone, and on WhatsApp, and record their vehicle complaints accurately.
• Create job cards and check in vehicles, noting existing damage, mileage, and fuel level.
• Coordinate with technicians on diagnosis, then prepare clear and accurate estimates for parts and labour.
• Explain repairs, costs, and timelines to customers in simple language, and get their approval before any work starts.
• Upsell and recommend additional or preventive services honestly and where genuinely needed.
• Track job progress, update customers on delays or additional findings, and manage the workshop bay schedule.
• Coordinate with insurance companies on claims, surveys, and approvals where applicable.
• Prepare invoices, handle payments, and make sure vehicles are quality-checked before delivery.
• Handle complaints professionally and follow up after delivery to ensure satisfaction and repeat business.
• Maintain customer records, service history, and reminders for upcoming servicing.
B. Purchaser
• Source spare parts, lubricants, consumables, tools, and equipment (OEM, genuine, and aftermarket) from suppliers in Dubai and the wider UAE.
• Obtain and compare quotations from multiple suppliers, and negotiate on price, quality, delivery time, and credit terms.
• Raise and track purchase orders, and verify that received items match the order and are free of defects.
• Make sure parts arrive on time so no vehicle sits idle waiting for parts.
• Handle returns, warranty claims, and supplier credit notes.
• Maintain inventory records and stock levels for fast-moving items, and reorder before stock runs out.
• Reconcile supplier invoices and statements with the accounts team, and follow up on payments due.
• Build and maintain good relationships with reliable suppliers, and keep an updated supplier and price list.
Technical knowledge
• Good knowledge of vehicle systems, common faults, and spare parts for European, and German cars.
• Familiarity with part numbers, VIN decoding, and parts catalogues.
• Experience with garage management or ERP software, plus MS Excel and WhatsApp Business.
Skills
• Strong communication in English and Arabic
• Negotiation and cost-control skills.
• Good organization, multitasking, and follow-up discipline.
• Honest, professional, and calm under pressure.
