QMS Coordinator - Joinery, Woodworking & Interior Fit-Out

The QMS Coordinator is responsible for implementing, maintaining, monitoring, and continuously improving the company's Quality Management System (QMS) in accordance with ISO 9001 requirements and applicable industry standards. The role ensures that all joinery manufacturing, installation, procurement, and project execution activities comply with established quality procedures, client specifications, approved drawings, and contractual requirements. 3. Key Responsibilities A. Quality Management System (QMS) • Implement, maintain, and monitor the company's Quality Management System in accordance with ISO 9001:2015. • Develop, review, update, and control quality policies, procedures, work instructions, and forms. • Ensure proper document control and maintain updated records. • Coordinate implementation of quality procedures across departments, including production, procurement, engineering, warehouse, and project management. • Monitor compliance with internal quality standards and customer requirements. • Support continuous improvement initiatives across the organization. B. Document Control • Maintain and control QMS documents, including: • Quality Manual. • Quality Management Procedures. • Standard Operating Procedures (SOPs). • Inspection and Test Plans (ITPs). • Method Statements. • Inspection Checklists. • Non-Conformance Reports (NCRs). • Corrective and Preventive Action Reports. • Ensure only approved and current documents are available at the workplace. • Maintain document registers and revision histories. • Coordinate document approval and distribution. C. Internal and External Audits • Prepare and coordinate internal QMS audits. • Conduct internal audits to verify compliance with ISO 9001 requirements. • Coordinate external certification and surveillance audits. • Follow up on audit findings and ensure timely closure of corrective actions. • Maintain audit schedules, reports, and supporting evidence. D. Quality Control in Joinery Manufacturing Coordinate with the QC team to ensure quality compliance throughout the joinery production process, including: • Incoming material inspection (MDF, plywood, veneer, solid wood, laminates, hardware, adhesives, and accessories). • Verification of material specifications and approved samples. • Monitoring cutting, CNC machining, edge banding, assembly, sanding, polishing, and finishing processes. • Verification of dimensions against approved shop drawings. • Monitoring surface finishing, color consistency, and workmanship. • Inspection of completed joinery products before packing and dispatch. • Ensuring proper identification, handling, storage, and protection of finished products. E. Non-Conformance and Corrective Actions • Coordinate the identification, recording, and reporting of non-conformities. • Issue and monitor NCRs. • Coordinate root cause analysis with relevant departments. • Monitor corrective and preventive actions. • Verify the effectiveness of implemented corrective actions. • Maintain NCR and corrective action registers. F. Project and Site Quality Coordination • Coordinate with project teams to ensure compliance with approved drawings, specifications, and client requirements. • Monitor quality documentation for joinery installation activities. • Coordinate inspections with consultants and clients. • Maintain inspection records, material approvals, and sample approvals. • Monitor site observations, snagging, and rectification activities. • Ensure proper quality handover documentation. G. Training and Awareness • Coordinate quality awareness and ISO 9001 training. • Ensure employees understand applicable quality procedures and responsibilities. • Maintain training records and competency documentation. • Promote a quality-oriented culture throughout the organization. H. Quality Performance Monitoring • Prepare monthly quality reports and KPI dashboards. • Monitor customer complaints and product rejection rates. • Track rework, wastage, NCRs, and inspection failures. • Identify opportunities for process improvement. • Report quality performance to management. • Bachelor's degree or diploma in Quality Management, Engineering, Industrial Engineering, or a related field. • Minimum 2–4 years of experience in Quality Assurance or QMS coordination. • Experience in joinery, woodworking, furniture manufacturing, or interior fit-out is preferred. • Good knowledge of ISO 9001:2015 requirements. • Experience in internal auditing and document control. • Knowledge of manufacturing and project quality processes. • ISO 9001 Internal Auditor certification is an advantage. 5.
