Job description

1. Fleet Operations • Manage the day-to-day fleet operations and vehicle assignments to ensure smooth transportation and delivery activities. • Coordinate fleet allocation based on operational priorities and business requirements. • Support UAE-wide delivery operations by ensuring vehicle availability. • Maintain effective communication between fleet operations, warehouse teams, transport coordinators, and business stakeholders. • Monitor fleet utilization and optimize 2. Fleet Administration & Compliance • Oversee vehicle registration, insurance renewals, RTA passing, and registration card renewals for new and existing vehicles. • Ensure complete compliance with UAE statutory and regulatory requirements. • Maintain and monitor: • RTA Traffic File • Vehicle Registration Records • Insurance Documentation • Employee Emirates IDs • Road Permits • Delivery Permits • Vehicle Branding Permits • Ensure vehicles remain free from traffic violations and fines through regular monitoring. • Manage balances and transactions for Salik, Darb, and other fleet E-Wallet systems. • Coordinate with government authorities for regulatory approvals whenever required. 3. Vehicle Operations & Preventive Maintenance • Monitor daily vehicle utilization and schedule preventive maintenance accordingly. • Develop preventive maintenance plans to maximize vehicle reliability. • Conduct regular inspections to ensure fleet roadworthiness and serviceability. • Coordinate with vehicle custodians to complete scheduled maintenance on time. • Physically receive vehicles from drivers before repairs and validate job cards. • Coordinate repairs with workshops and garages. • Ensure vehicle uptime of 98% or above across the fleet. • Minimize vehicle downtime through proactive maintenance planning. 4. Accident & Insurance Management • Coordinate accident reporting with the Administration team. • Register accident claims with insurance providers. • Arrange vehicle surveys and repair approvals. • Liaise with garages to ensure timely and quality repairs. • Monitor insurance claims until closure. • Maintain accident records and prepare incident reports. • Identify preventive measures to reduce accident frequency. 5. Fleet Cost & Expense Control • Monitor and control fleet operating expenses. • Analyze fuel consumption, maintenance costs, repair expenses, and operational expenditure. • Raise and manage Purchase Orders through ERP systems. • Coordinate spare parts planning with garages. • Monitor vehicle operating cost per kilometer and benchmark against industry standards. • Recommend cost-saving initiatives without compromising operational performance. 6. GPS & Fleet Technology Monitoring • Monitor GPS tracking systems to ensure route compliance and operational efficiency. • Analyze vehicle movement and utilization reports. • Maintain fleet databases and operational dashboards. • Generate periodic reports using Excel and reporting tools. • Support implementation of fleet technology and automation initiatives. 7. Driver & Resource Management • Assess the driving capabilities of shortlisted drivers during the recruitment process. • Coordinate driver deployment based on operational requirements. • Prepare driver attendance, overtime, shift schedules, and leave plans. • Manage vehicle handover and takeover processes. • Resolve driver-related operational issues. • Promote driver accountability and adherence to company standards. 8. Health, Safety & Quality Standards • Ensure compliance with company Quality, Health, Safety, and Environment (QHSE) standards. • Ensure all drivers are equipped with the required Personal Protective Equipment (PPE). • Monitor compliance with Standard Operating Procedures (SOPs). • Promote safe driving practices and defensive driving awareness. • Support investigations into safety incidents and recommend corrective actions. 9. Reporting, MIS & Continuous Improvement • Prepare daily, weekly, and monthly fleet operational reports. • Generate MIS reports covering: • Fleet Utilization • Vehicle Uptime • Maintenance Status • Accident Analysis • Cost per Kilometer • Fuel Consumption • Driver Productivity • Analyze operational and technical processes to identify improvement opportunities. • Develop initiatives to improve garage efficiency and reduce turnaround time. • Support implementation of continuous improvement projects. • Coach and guide drivers and fleet personnel to improve productivity. • Provide technical and operational support to team members. • Report operational performance and productivity metrics to management.
