Crude Operations Officer / Specialist

What you will do • Receive trade recaps, signed contracts and initial transaction data from the Crude Operations Supervisor, and check that the information needed to begin operational support is complete. • Maintain the operational status and cargo timeline of assigned crude oil transactions. • Monitor nomination dates, laycan, loading windows, ETA/ETB, NOR, discharge windows, payment dates, document deadlines and claim time bars. • Coordinate with Shipping on vessel schedules, ETA updates, loading and discharge status, SOF, NOR, bills of lading and other shipping documents. • Collect, review and transfer cargo documents, quantity and quality certificates, certificates of origin, inspection reports, invoices and supporting documents. • Check document data for consistency, including contract references, counterparties, vessels, product, quantity, dates, ports and invoice details. • Prepare or support the preparation of invoice data, debit and credit note data, and other settlement materials. • Provide Finance with documents and data for invoicing, payment support, reconciliation and accounting. • Track receipt of original documents or copies, and maintain the operational transaction file. • Flag documentary discrepancies, delays, quantity or quality differences, disputed invoices, overdue payments, claims and other deviations to the Crude Operations Supervisor. • Collect supporting documents for demurrage and despatch, claims and cost reconciliation. Who you will work with You will report to the Crude Operations Supervisor and work with Shipping and Finance. Where necessary, you will also coordinate on compliance, sanctions, legal or risk matters and communicate with authorised external parties such as inspectors, agents, terminals, counterparties and service providers.
