• Manage the intake, handling, and storage of documentation.
• Develop and implement processes for document control.
• Ensure all documentation meets formal requirements and required standards.
• Review and update documents as necessary.
• Track and manage versions of documents.
• Retrieve files as needed by company staff.
• Securely back up and store documents.
• Send emails and respond to all stakeholders regarding document-related inquiries and updates.
• Write letters and coordinate with engineers for document-related purposes.
• Respond to emails coming to the office and coordinate with engineers for further responses.
• Ensure all documentation is discoverable and accessible.
• Properly organize and categorize documents.
• Coordinate with project teams to ensure all documents are accounted for and in the appropriate location.
• Record, review, and distribute minutes of meetings.
• Monitor regulatory activity to maintain compliance with records and document management laws.
• Act as the site-based focal point for all project documentation and correspondence.
• Maintain and control all site records, including drawings, specifications, RFIs, submittals, and approvals.
• Register, log, distribute, and follow up on incoming and outgoing project correspondence.
• Coordinate closely with the Project Manager and Project Engineer to track document status and deadlines.
• Ensure timely circulation of approved documents to site teams and relevant stakeholders.
• Maintain site registers for drawings, submissions, RFIs, NCRs, and instructions.
• Support contractual record-keeping by maintaining a complete and accurate document trail.
• Bachelor’s degree in Business Administration or a relevant field such as Construction Management or engineering (preferred but not required).
• Proven experience with document control software and systems.
• Strong attention to detail and accuracy.
• Excellent organizational and time-management skills.
• Familiarity with construction terminology, processes, and documentation.
• Proficiency in MS Office Suite (Excel, Word, Outlook) and document management systems.
• Ability to communicate effectively with internal and external stakeholders.
• Strong problem-solving skills and the ability to work independently or within a team.
• Experience as a Site Document Controller on construction projects is preferred.
• Proficiency in English (written and spoken) is required.
• Arabic language skills will be considered an advantage.
