Cost Clerk

ROLE SUMMARY The role holder prepares accurate and efficient costing of all retail, warranty and internal job cards and ensures customers get accurate invoices on time, maximizing efficiency and resulting in increased customer satisfaction. MAJOR AREAS OF RESPONSIBILITY • Segregates retail/internal and warranty jobs on the job card and accurately raises monthly invoices • Completes costing for all retail and internal labor/consumable sublet lines and groups charge type using menu code • Ensures the jobs are costed using appropriate labor rates and relevant codes in the system. • Ensures time allocated for jobs is correct as per the operation code and it is charged back in full so as to maximize profitability. • Verifies that all labor, parts and sublet costs are recorded against the repair items and escalates to the workshop manager in cases of discrepancy. • Prepares all MR’s (Material Request) and completes all pending parts, consumables, sublet requests within the given timeframe. • Ensures all relevant equipment maintenance and calibration is completed as per the yearly schedule. • Ensures all workshop related documents are accurately updated in the relevant files. • Increases customer satisfaction through timely delivery of work orders and by avoiding any process delays. • Follows up with the warranty department and service advisors if any repair order is kept pending for more than the approved timeline. • Maintains daily accounting of costs such as: gasoline, diesel fuel, grease, antifreeze, repair parts, tires, supplies, and labor served by the workshop staff. • Maintains daily inventory of items ordered, received, stored, and issued by workshop staff. • Communicates and coordinates with finance department for billings and payments. • Assists in warranty costing if required and performs other related duties as required. Technical competencies o Good knowledge of standard practices, procedures, and work process of costing in an automobile franchise or workshop. o Good knowledge of vehicle part and warranty claims. o Ability to manage a computerized inventory and accounting system. o Ability to develop statistical reports. o Ability to identify and cross reference repair parts using catalogues and physical inspection. o Ability to write routine reports and correspondence o Excellent Computer skills & knowledge of MS Office.
