Job description

**Job Purpose** Oversee daily warehouse and production operations, ensuring customer orders are completed accurately and on time, employees follow their assigned tasks, stock and supplier documents are controlled, and the owner receives clear operational updates. Key Responsibilities **Order and Production Management** * Review all new, pending, urgent, reprint, pickup, and delivery orders daily. * Prepare the daily production plan and assign priorities to each employee. * Track orders through printing, heat pressing, quality checking, packing, and dispatch. * Ensure every order has complete information before production begins. * Monitor deadlines and resolve or escalate anything that could delay an order. * Verify that order statuses are updated accurately in the tracking sheet or system. * Ensure completed orders are not released until the required quality and quantity checks are completed. * Coordinate customer order updates when delays, defects, or changes occur. **Employee Supervision** * Assign daily tasks and follow up on completion. * Ensure employees follow operating procedures, safety rules, quality standards, and working schedules. * Check that responsibilities are handed over correctly between printing, heat pressing, packing, and dispatch. * Train employees on order handling, quality checks, stock procedures, and workplace organisation. * Identify repeated mistakes and implement corrective actions. * Report attendance, performance, workload, and staffing concerns to the owner. **Quality Control** * Conduct final checks on selected or high\-value orders before dispatch. * Approve reprints, replacements, or use of additional material within the authority given by the owner. * Maintain a record of defects, complaints, reprints, returns, and wastage. * Investigate recurring production problems and recommend improvements. * Ensure customer complaints are documented and communicated to the owner. **Inventory and Warehouse Control** * Monitor fabric, ink, printing paper, packaging, labels, and other consumables. * Maintain minimum stock levels and prepare replenishment requests before materials run out. * Organise and oversee regular stock counts. * Investigate stock differences, missing materials, or unusual wastage. * Ensure materials, customer orders, and finished products are labelled and stored correctly. * Maintain separate areas for incoming stock, work in progress, completed orders, returns, and defective products. * Ensure the warehouse remains clean, organised, secure, and safe. **Supplier Bills and Administration** * Review supplier quotations, invoices, receipts, purchase records, and delivery notes. * Match supplier invoices against approved orders and delivered quantities. * Maintain an organised record of amounts paid, pending payments, credit balances, and due dates. * Flag incorrect invoices, unexpected charges, or overdue payments to the owner. * Prepare a regular supplier\-payment summary for the owner. * Do not approve new suppliers, significant purchases, or price changes without the owner’s approval. * Maintain basic production, stock, expense, and operational reports. **Owner Communication** * Provide the owner with a concise daily or agreed operational update covering: * Orders completed, pending, delayed, or requiring attention. * Customer complaints or urgent requests. * Stock shortages and purchase requirements. * Supplier issues and outstanding bills. * Equipment faults or maintenance needs. * Employee attendance or performance concerns. * Wastage, reprints, and quality problems. * Escalate urgent matters immediately rather than waiting for the regular update. * Obtain approval before making decisions outside the agreed budget or authority. **General Responsibilities** * Coordinate courier collections and customer pickups when required. * Ensure equipment is switched off, orders are secured, and the premises are properly closed at the end of the day. * Support production, packing, customer communication, or receiving deliveries when operationally necessary. * Maintain confidentiality regarding company pricing, suppliers, customers, designs, and financial information. Required Skills and Experience * Previous experience in warehouse, production, retail operations, or team supervision. * Strong organisation, follow\-up, and problem\-solving skills. * Able to manage employees while remaining hands\-on during busy periods. * Comfortable using spreadsheets, order\-tracking systems, and basic financial records. * Basic understanding of invoices, supplier accounts, inventory, and expense control. * Clear communication and the confidence to escalate problems promptly. * Textile, printing, manufacturing, or e\-commerce experience is preferred. * English is required; Arabic is an advantage. Performance Expectations * Orders completed accurately and on schedule. * Clear daily visibility of every order’s status. * Low levels of defects, reprints, wastage, and customer complaints. * Accurate stock records and timely replenishment. * Correct and organised supplier documentation. * Clean, safe, and well\-managed workplace. * Timely, transparent communication with the owner. Pay: AED3,500\.00 \- AED4,500\.00 per month Work Location: In person
