Job purpose The Project Manager is responsible for planning, executing, and delivering events and activations from concept to completion. This role requires strong project management skills, attention to detail, and the ability to coordinate internal teams, suppliers, and clients to ensure seamless delivery of world-class events.
Key Responsibilities:
Project Management: Lead the planning and execution of events, activations, and experiential marketing projects. Develop detailed project timelines, budgets, and task lists; monitor progress to ensure deadlines and budgets are met. Oversee production schedules, logistics, and on-site operations. Manage vendor relationships negotiate contracts, source suppliers, and ensure quality standards are met. Coordinate cross-functional teams (creative, production, client servicing, digital, etc.) to deliver integrated event experiences.
Client Management: Serve as the main point of contact for assigned clients throughout the project lifecycle. Understand client objectives and ensure event concepts and execution align with brand goals. Prepare and deliver presentations, project updates, and post-event reports.
Creative & Strategic Input: Contribute to brainstorming sessions and proposal development with creative and strategy teams. Provide insights on event trends, technologies, and experiential marketing innovations. Support in developing pitch decks and event concepts during RFPs.
On-Site Execution: Oversee event setup, rehearsals, and live event management. Supervise event staff, suppliers, and contractors to ensure flawless execution. Handle troubleshooting, risk management, and ensure health and safety compliance.
Financial Management: Create and manage event budgets, track expenses, and ensure profitability. Manage invoicing, purchase orders, and vendor payments.
• Bachelor's degree in Marketing, Communications, Event Management, or a related field.
• 4 - 7 years of experience in event management, preferably within a marketing or events agency.
• Proven track record managing medium to large-scale events and activations.
• Strong organizational and multitasking skills, with the ability to handle multiple projects simultaneously.
• Excellent client-facing and communication skills.
• Proficiency in MS Office and project management tools (e.g., Monday.com, Zoho).
• Willingness to travel and work flexible hours, including weekends, during event periods.
