Job description

**MEP Store Keeper – Roles \& Responsibilities** * Receive all incoming MEP materials, tools, equipment and consumables against approved Purchase Orders, Delivery Notes and other supporting documents. * Verify the **quantity, description, brand, model and physical condition** of materials at the time of receipt. * Coordinate with the concerned Engineer, QA/QC, Procurement or Stores team whenever technical verification or inspection is required before accepting materials. * Prepare and maintain **Goods Receipt Notes (GRN)** and ensure all received materials are properly recorded in the ERP/store system. * Ensure materials are properly **labelled, coded, segregated and stored** according to category, project, floor, system or work package. * Maintain proper storage for: * Electrical materials and accessories * Cables and cable drums * DBs, panels and switchgear items * HVAC materials and accessories * Ducting materials * Chilled\-water pipes and fittings * Plumbing and drainage materials * Firefighting materials * Valves, fittings and supports * ELV materials * Tools, equipment and consumables * Maintain minimum and maximum stock levels for frequently used site materials and inform Procurement/Project Team before stock reaches critical level. * Issue materials only against approved **Material Request / Material Issue Voucher / Store Requisition**. * Ensure all material issues are recorded with proper details such as: * Date * Material description * Quantity * Location/floor * Employee/foreman receiving the material * Project/job reference * Obtain proper acknowledgement/signature from the person receiving materials. * Monitor and control material consumption to reduce **wastage, over\-issue, misuse and loss**. * Maintain proper records of **returnable materials, unused materials, damaged materials and scrap**. * Receive unused materials returned from site and update stock records accordingly. * Segregate damaged, rejected or non\-conforming materials and ensure they are not issued for installation. * Coordinate replacement or return of defective materials with Procurement/Suppliers. * Maintain a proper **Material Return Note** for items returned to suppliers. * Keep accurate records of all **tools and equipment issued to workers, supervisors and subcontractors**. * Maintain a Tool Issue Register showing: * Tool description * Asset/tool number * Issued to * Date issued * Return date * Condition * Follow up for the return of company tools and equipment. * Immediately report any **lost, damaged or unreturned tools/materials** to the concerned Engineer or Project Manager. * Conduct regular physical stock counts and reconcile actual stock with the ERP/store records. * Support monthly, quarterly and annual **stock audits**. * Investigate and report any stock discrepancies. * Maintain proper records for **slow\-moving, non\-moving and excess materials**. * Prepare daily/weekly/monthly stock and consumption reports whenever required by the Project Manager, Procurement or Accounts Department. * Maintain proper documentation of: * Purchase Orders * Delivery Notes * GRNs * Material Issue Notes * Material Return Notes * Transfer Notes * Supplier Return Notes * Stock Reports * Tool Registers * Ensure all store documents are filed properly and can be easily retrieved for audit or project reference. * Coordinate with Procurement regarding pending material deliveries and urgently required items. * Inform the Site Engineer/Project Manager immediately if required materials are not available or delivery is delayed. * Coordinate with site engineers, foremen and supervisors regarding upcoming material requirements. * Ensure materials are transferred between projects or stores only against approved **Material Transfer Notes**. * Maintain proper records of inter\-project material transfers. * Ensure expensive or sensitive materials are stored securely and access is restricted to authorized personnel. * Arrange proper storage to prevent: * Water damage * Rust * Dust contamination * Physical damage * Theft * Exposure to direct sunlight or weather * Ensure cable drums, pipes, equipment and other heavy materials are stored safely and correctly. * Ensure chemicals, paints, adhesives and hazardous materials are stored as per safety requirements and manufacturer recommendations. * Maintain good **housekeeping** inside and around the store at all times. * Ensure aisles, emergency exits and access routes remain clear. * Coordinate with HSE personnel to ensure proper safety practices are followed in the store. * Ensure proper lifting and handling methods are followed while loading or unloading heavy materials. * Verify that lifting equipment, forklifts and material\-handling tools used in the store are operated only by authorized personnel. * Ensure PPE is used during loading, unloading and material handling. * Prevent unauthorized persons from entering the store or collecting materials. * Ensure no material leaves the store without proper documentation and authorization. * Maintain a separate register for **high\-value items** where necessary. * Assist the Project Team in preparing **material reconciliation** at different stages of the project. * Support project close\-out by identifying surplus materials, reusable materials, scrap and returnable items. * Coordinate the transfer of surplus materials to other projects or central warehouse when instructed. * Prepare final inventory and material reconciliation before project completion. * Perform any other store\-related duties assigned by the **Project Manager, Procurement Manager or Management**. **Key KPIs for an MEP Store Keeper** A Store Keeper can also be evaluated on: * Stock accuracy * Timely GRN preparation * Zero unauthorized material issue * Low material wastage * Proper tool control * Timely stock reporting * Store housekeeping * Reduction of
