**JOB DESCRIPTION**
**Job Title:** Accounts \& Administrative Manager
**Reporting To:** Board Member
* Manage and review all daily accounting and administrative operations, including high\-level internal and governmental correspondence.
* Oversee the accuracy of all accounting transactions (customers, suppliers, cash, bank, payroll, and general ledger); implement credit policy requirements; commit to submitting daily production and sales reports, monthly company performance reports, branch and contract profitability reports against the budget, and the mid\-month cash flow projection report; calculate service quotations, obtain management approval, present them to clients promptly, and follow up to negotiate, obtain client approval, or refer back to management for price review.
* Apply to banks, upon management approval, to obtain financing under the best terms; leverage available financial support programs from Tamkeen and banks; apply for all support programs and follow up to conclude procedures, achieving maximum benefit for the company in the shortest possible time.
* Assume full responsibility for reconciling all ledger accounts and preparing monthly trial balances and financial statements.
* Oversee daily payroll processing, including overtime, leave management, and final settlements, in full compliance with Bahraini Labor Law and company policy.
* Oversee the completion of Labor Market Regulatory Authority (LMRA) procedures regarding expatriate employee visas; supervise the registration of new Bahraini employees at the Ministry of Labor, and follow up to secure support from Tamkeen.
* Oversee the drafting of job offers, job descriptions, and employment contracts for all employees in accordance with Bahraini Labor Law, securing management approval and signatures as per company policy.
* Manage the cycle of employee work permits, Central Population Registry (CPR) cards, and site access permits (gate passes) for contract clients; ensure timely renewals and coordinate with the HR officer three months prior to expiration dates.
* Review and approve all cash books on a weekly basis and branch books on a daily basis to ensure liquidity and accuracy.
* Oversee the timely issuance and dispatch of monthly customer invoices within the first five days of each month.
* Analyze daily sales reports for all branches, and support the marketing and sales team in developing promotional offers and future requirements.
* Oversee and follow up on retail and corporate (B2B) receivables collection, submitting high\-level reports to senior management.
* Manage the Local Purchase Order (LPO) process by reviewing competitive quotations, verifying vendor statements, obtaining management approval, uploading payment details onto the bank’s online portal, and coordinating with management to authorize payments.
* Ensure the recording and settlement of all utility liabilities (electricity and water) and rent well ahead of their due dates.
* Lead warehouse inventory management and conduct monthly physical stock counts for inventory and fixed assets.
* Conduct monthly branch audits to verify orders in progress and collection status, submitting monthly reports to management in strict adherence to company policies.
* Lead the preparation of audit reports, business plans, annual budgets, and the filing/reconciliation of Value Added Tax (VAT) returns.
* Develop cost accounting and client quotations, assisting management in formulating business expansion strategies.
* Direct the planning, execution, upgrading, and renewal of licenses and agreements for the Enterprise Resource Planning (ERP) system with IT partners, acting as the primary trainer for the team.
* Handle escalated customer complaints and provide high\-level support for logistics controls and security audits.
* Assume all departmental decision\-making responsibilities and authorities during the absence of senior management, as authorized.
* Perform any other duties assigned to you from time to time by management.
